Terms of Service

Plain terms for a long partnership.

Last updated: 27 July 2026

The short version

1Who provides the service

Church Base Cloud (“CBC”) is provided and billed by DigitAI Solutions LLC (USA). Contact: hello@churchbasecloud.com. By creating a church space you agree to these terms on behalf of your church or organisation.

2What the service is

CBC is a hosted church-management platform: an admin panel for your team and a member app for your congregation, running at your church's own address (yourchurch.churchbasecloud.com) with its own private database. All features are included in every subscription; we add features continuously without moving existing ones behind higher tiers.

3The software adapts to your church — not the other way round

Every church works differently, and CBC is built to follow that. Included in the service:

Larger custom developments that only serve a single organisation may be quoted separately — we will always tell you before anything costs extra.

4Your account and fair use

Keep your access credentials safe and give panel access only to people who should have it (the role system helps). Use the platform lawfully and respectfully: no unlawful content, no spam through broadcasts, no attempts to break or overload the service, no use of member data beyond your church's legitimate community life.

5Your data is yours

Everything your church enters remains your church's property. We process it only to run the service — see the Privacy Policy for exactly where it lives and who touches it. You can export your data at any time, and we never sell it or use it for advertising or AI training.

6Prices and billing

Prices are listed on churchbasecloud.com in US dollars and billed by DigitAI Solutions LLC, monthly or yearly in advance. Taxes are added where the law requires. One-off services (setup, assisted onboarding) are billed as agreed in writing.

7Existing churches keep their conditions

Our founding promise: when we raise prices, the new prices apply to new contracts only. A running subscription's price can change by at most a 5% inflation adjustment per year, announced at least 30 days in advance — it never jumps to new-customer pricing, for as long as the subscription continues uninterrupted.

If we ever change what a plan includes, changes only expand what you get — features you rely on are not taken away mid-contract.

8Availability, maintenance and backups

We run the platform on professional EU infrastructure, monitor it, and keep encrypted daily backups (14-day retention). We aim for the service to be available around the clock; short maintenance windows are placed outside typical church hours whenever possible. Like every online service we cannot promise uninterrupted availability, but restoring service and data always comes first.

9Online giving

Online giving runs through the church's own merchant account with the payment provider (MIPS). Donations flow directly between giver, payment provider and church — we provide the technology, are not a party to the donation, and never hold your church's funds. The payment provider's terms apply to payment processing.

10Leaving

You can cancel anytime, effective at the end of the paid period — no notice periods, no exit fees. Export your data before the end date (we help if needed). Thirty days after the contract ends, your church's database and files are deleted; backups roll out within a further 14 days.

We may terminate a subscription with reasonable notice if these terms are seriously violated (e.g. unlawful use or non-payment) — never without contacting you first.

11Liability

We are liable for intent and gross negligence. For simple negligence, liability is limited to typical, foreseeable damage and capped at the fees your church paid in the twelve months before the event. We are not liable for indirect damage such as lost profits. Nothing in these terms limits liability that cannot legally be limited.

12Changes to these terms

If we change these terms in a way that matters, church admins get an email at least 30 days in advance. If you don't agree with a change, you can cancel before it takes effect — see section 10.

13Governing law

These terms are governed by the law at the seat of DigitAI Solutions LLC (USA), without affecting mandatory consumer or data-protection rules that apply at your location.
